How to structure a conveyor asset register

Design a conveyor asset register that keeps sites, routes, belts, specifications, splices, documents and maintenance history consistent and ready for migration.

Bulk terminal conveyor route and ship loader

A conveyor register should give every authorised user the same answer to three questions: which asset is this, what belt is installed, and where is its current operating history? A simple hierarchy and controlled identifiers matter more than a large number of optional fields.

01

Choose a stable hierarchy

Model the organisation, client or operating owner, site, route and conveyor separately. A route can provide process context while the conveyor remains the maintainable asset.

Avoid encoding information that changes frequently inside the permanent asset code. Names and responsibilities can change while the identifier remains stable.

  • Organisation or client
  • Site and operating area
  • Material route or system
  • Conveyor and maintainable components

02

Define the minimum conveyor record

The minimum record should support identification and maintenance without becoming an uncontrolled engineering master. Decide which system remains authoritative for design data and which values BeltLabs needs for daily work.

Use required fields sparingly and controlled lists where inconsistency would affect search, reporting or integration.

  • Asset code and approved name
  • Material duty and operational status
  • Belt width, length and construction
  • Criticality, owner and linked documents

03

Prepare legacy data before import

Profile existing files before loading them. Find duplicate codes, missing sites, inconsistent units, retired assets and notes that combine several fields.

Import a representative sample, review it with field and planning users, then correct the source file before the full migration.

  • Map source columns to target fields
  • Normalise units and controlled values
  • Resolve duplicates and retired records
  • Preview and validate before commit

04

Govern changes after migration

Assign ownership for new asset codes, specification changes and archive decisions. General users should be able to report a correction without rewriting the controlled record.

Review data quality through exceptions such as missing specifications, duplicate labels, open findings without owners and completed work without evidence.

  • Named data owner
  • Role-based create and archive rights
  • Audit trail for material changes
  • Routine exception review
